By-election nominations for the following positions will open at 2PM, September 22, 2026:
- Communications Officer
- Vice-President Unit 2
- Vice-President Unit 3
- Lead Steward Unit 3
- Lead Steward Unit 4
- Bargaining Team Representative Unit 3 (1 position)
These by-elections include positions that have remained unfilled and require election. All members, especially Black, Indigenous, and racialized members, and members from other equity-seeking groups, are strongly encouraged to run for the positions in fulfillment of our equity mandate. Timeline
The election nomination period will run from September 22, 2026 until October 6, 2026. Following the close of nominations, there will be a two-week campaign period, following the close of the campaign period. Voting will take place via Simply Voting.

- Nominations Close: Tuesday, October 6, 2026 at 2PM
- Campaign Period Opens: Tuesday, October 6, 2026 at 2PM
- Campaign Period Closes: Tuesday, October 20, 2026 at 2PM
- Voting Opens (via Simply Voting): General Membership Meeting (GMM), Tuesday, October 20, 2026 at 2:00PM
- Voting Closes: Sunday, October 25, 2026 at 2:00PM
Troubleshooting
If you have any issues with your voting ballot from Simply Voting for the elections, please try the following things:
- Check your employee email address
- Check any email address you have associated with York University that they may have on file. We receive member email addresses from the university.
- Check your junk mail on your emails as well
- Try searching “Simply Voting” or “SimplyVoting” ; in your inbox, the email comes from vote@simplyvoting.com
If any of these solutions work, please respond and let us know so we don’t further investigate your ballot. If these DO NOT work, please send us your full name, primary email address (we will update the email list with this email), and your employee number. Also, please add vote@simplyvoting.com to your safe senders list so that subsequent ballots do not end up in your junk mail folder. Thank you!
Eligibility
Many of the positions currently up for by-election are unit-specific (including the Vice-President positions, Lead Steward positions, and Bargaining Team Representative position). This means that nominees must be a member of the unit whose position they are running for. These positions are open to both members holding active contracts in the unit and political members whose most recent contracts in the unit have ended less than 12 months prior. For the Bargaining Team Representative – Unit 3 position, nominees must be active or political members of Units 1, 2, or 3, and must have held a Unit 3 contract in the last 5 years.
The position of Communications Officer is not unit-specific. This position is open to members in good standing of any unit, whether that member currently holds a contract or is a political member.
Supporter Forms
For unit-specific positions, nominees must have the support of two CUPE 3903 members from the same unit. For non-unit specific positions, nominees must have the support of two CUPE 3903 members from any unit. Upon submission of the nomination form, the supporters will be automatically contacted to endorse the nomination via a pre-populated supporter form. Both supporter forms must be submitted before the deadline in order for the nomination to be considered complete.
